Registration and Role Approval Process
1. Registration
1.1 Two-Step Activation
To create an account, you’ll go through a two-step process. Upon completion, you’ll receive an activation email. Please make sure to activate your account using the provided email.
1.2 Region and role selection
In this system, access to specific data is carefully managed with roles and regions. Users are required to select their preferred region during the registration process, which is vital for determining what data they can interact with. It’s important to emphasize that once access is granted, users will only be able to view or edit data related to the region they initially selected. It’s crucial to understand that the chosen region cannot be altered after registration. It’s important to note that each region’s data is confidential and not visible to other regions. All reports are filtered internally based on your selected region.
- Region Administrator:
Typically, this role is held by the president of the region. - Team Capturer:
Individuals assigned to input data into the system. - Parents, Players, Team Managers & Coaches:
This is the default access level, granting you access to news and updates. Team managers and coaches can view players assigned to their team exclusively.
2. Role Approval Process
2.1 Region Administration Access
Upon completion of the registration process, a notification will be sent to the Tshwane tournament organizers, and access will be granted. Initially, only the following individuals is approved to receive Region Administrative rights. If your region wishes to appoint additional administrators, please send a request to tech@tshwanechess.org. Ensure that the president of the region is cc’ed in the email.
It’s worth mentioning that this is a manual process. If you urgently require access feel free to contact us for assistance.
Once you’ve been granted access, you will notice an additional menu item named “Region Administrators” in the system. Within this menu, you will find a form that allows you to review all applications submitted by Team Capturers for your specific region. It’s crucial to exercise caution and only grant access to individuals whom you have identified as authorized. This is essential because the data contains personal information such as email addresses and phone numbers. Please note that all requests from data capturers in your region will be sent to the email address you provided during the registration process.
2.2 Team Capturer Access
Access to the system for Team Capturers needs to be approved by your Region Administrator. After they have approved your access, you will notice an additional menu item labelled “Team Entries” within the system. This menu contains all the entry forms necessary for managing and submitting data related to your region.
2.3 Parents, Players, and Team Managers
- Parents and Players: Their access will be limited to tournament news and updates only.
- Team Managers and Coaches: They will have the privilege to view all players associated with their email address.
It is crucial that they register using the same email address through which they were captured by their region’s data capturers.
U8 – U20 Team Entry From
- Team Entries: This form is designed for entering details of teams.
- Team Manager Entries: Use this form to input information about team managers.
- Team Coach Entries: This form is for recording data about team coaches.
Each of these entry forms comes equipped with a viewing option and filter capabilities, offering valuable tools for future use. These features will prove especially handy in managing and organizing data effectively.
